Backup Your Info

Does your Information Have Value?

Does your information have value? There are different degrees, naturally, but I have not spoken with many people who do not put some importance in what they keep on their computers, whether it be accounting information or family pictures, more than likely there is something you would hate to loose.

Backing up your information is neither complicated nor expensive. Here I will cover instituting a backup using the options provided for that purpose within software, specifically I use Microsoft Outlook, backing up the ever important e-mail and Microsoft Accounting Professional, backing up accounting information.

outlook backup In Microsoft Office Outlook 2007 you can find the backup utility under the File Menu. The step next will be selecting your backup options.

As you can see from the screenshot below you can select, in days, how often you would like the data file backed up.

Best practices dictate that your backup be done in an alternate location. Mbstor01 is a Network Attached Storage (NAS) device.

Using external USB drives is a popular option. They come in a wide range of sizes, if your concerns are limited to your documents and e-mail, a 2 to 4GB thumb drive should be adequate.

If you have hundreds of pictures and plan on adding to that family photo library lean more toward the 200GB size. The manufacturers are very good about including in their specifications the amount of digital photos and video a device can store.


In Microsoft Office Accounting you get to the "Backup company data" utility via "Data Utilities".

To build on the point I made earlier, use an alternate location, do not backup file X which is on your local C drive, to file Y on the same drive.

Here a second consideration is Password Protection. When putting certain information on a portable device make sure the device has the ability to be password protected. In some cases this is required by law. In certain situations your laptop is considered a "portable device" and when it contains sensitive information it should have password protection and encryption applied.
